apply.Job SummaryThe Project Coordinator assumes independent
responsibility for the administration of the NIH P30 grant,
budgeting, and program organization. The candidate works under
general direction of two lead Core Directors in the Endocrine Unit,
and in collaboration with external core directors from the Beth
Israel Deaconess Medical Center, Boston University, and Boston
Children's Hospital. This is a part-time position with potential to
grow into a full-time role in the
future.QualificationsResponsibilities comprise, but are not limited
to:
- Administers the P30 grant, including responsibility for
billing, payment for services and supplies and submitting monthly
journals for each core through data collection from Insight and the
Partners Core Management System.
- Provides day-to-day support to the cores, monitors and utilizes
the CSR email for all CSR communications, maintains up-to-day
membership lists and distributes appropriate announcements.
- Responsible for maintaining the Center for Skeletal Research
(CSR) WordPress website, including bi-monthly updates. The website
is used to provide up-to-date descriptions of investigators' labs
and research as well as meeting schedules, notices about upcoming
events, and event registrations.
- Responsible for maintaining the CSR Partners Core Management
System in collaboration with the Partners Cores Team. The website
is used to track core samples from submission to completion, bill
for core services and monitor revenue.
- Provides training support for system users and on-site support
for core technicians (e.g. develop SOPs and maintain an internal
resource for training materials).
- Responsible for organizing all technical aspects of program
meetings and conferences across Partners, including monthly
workshops such as coordinating and monitoring audio visual support
(e.g. Zoom conferencing) and uploading recordings onto the
website.
- Prepares budgets and monitors revenue monthly and expenditures
quarterly.
- Administers the application process for P&F grants and
travel awards, assuring timely notification of opportunities and
deadlines. Maintains records of applications and distributes
information to reviewers. Notifies award recipients. Follows up
with institutional officials re approval of these grants.
- Organizes annual symposium, held at the MGH main campus and
Assembly Row. Arranges program and speakers, reserves space and
resources. Manages the abstract application process. Makes travel
arrangements and reimburses expenses for invited guests.
- Schedules and attends monthly Core Directors' meetings and
meetings of the advisory committee. Takes minutes and distributes
to Core Directors.
- Works with the Grants & Fiscal Manager to coordinate grant
proposal preparation and annual reports. Assists with the
preparation of budgets and justifications and gathering information
from personnel to be included in the proposals. Reviews biosketches
to assure compliance with format.
- Attends research administration conferences and keeps current
with federal (NIH in particular), state and other
requirements.
- Performs all other related job duties as assigned.Financial
Responsibilities
- Responsible for administration of the P30 grant and
budgeting.
- Monitors financial reports to ensure accuracy and budget
integrity.
- Responsible for reviewing monthly core invoices, tracking
internal and external payments, and submitting journal entries
using Insight.EducationBachelor's Degree requiredExperience
- Project support or administrative experience 1-2 years
preferred.
- Experience in grant and/or project management in a healthcare
setting, or other similar experience is a plus.Knowledge, Skills
and Abilities
- Exceptional verbal, written, and presentation skills.
- Ability to work effectively both independently and as part of a
team.
- Proficiency with Microsoft Office suite (e.g. Excel, Word,
PowerPoint, and Outlook).
- Computer skills at a level to design and revise website and
utilize complex internal business systems.
- Ability to handle multiple tasks and work well under pressure
of deadlines.
- Attention to detail and strong analytical, organizational
skills.
- Ability to problem solve and take initiative.Additional Job
