Institute (3310288)Position SummaryBrigham and Women's Hospital
(BWH) seeks a Program Manager to join our education team. Reporting
to Dr. Bonventre and the Sr. Administrative Director, the Program
Manager manages the Harvard-wide "Network Grant" bringing together
post-doctoral and pre-doctoral training in Nephrology, Urology, and
Non-Malignant Hematology. In close collaboration with the Multi-PIs
of the grant and various faculty committees, the Program Manager is
responsible for leading all aspects of the Network programs,
including coordinating faculty effort, recruitment and retention of
fellows and graduate students, ensuring participant satisfaction,
managing operational staff, grant/gift submission and reporting as
needed, and achieving financial targets to ensure that the Network
Grant accomplishes its goals. We seek collaborative, adaptable

Program Manager, you will work closely with the Harvard Network
group and the BWH Renal Medicine Division. In this capacity, you
will:PROGRAM MANAGEMENT
- Manage admissions and enrollment process, including admissions
committee.
- Review, enhance and implement existing marketing and outreach
strategies.
- Serve as a key contributor during the build-out of the various
professional development, networking, and administrative functions
in the Network.
- Manage communication strategy and processes.
- Organize data and write reports.PROGRAM DELIVERY
- Ensure that all aspects of program development and
implementation are planned, managed, and executed at the highest
standards.
- Direct operations, including logistics, faculty relationships
to the Network, curriculum management, web site maintenance, and
coordination across Harvard research sites, as needed.
- Develop strong working relationships with faculty chair and
other members of the Multi-PI group.
- Consult with faculty chair on major program-related activity
and/or decisions as needed.
- Negotiate with new and existing external vendors, sign
contracts on behalf of the Network for offsite events.
- Take the lead in anticipating and resolving issues and
escalating to the PIs of the grant as needed.
- Manage processes to ensure program participants are supported
before, during, and after the programs, online and in person.
- Review program evaluations with faculty chair(s) to determine
and implement changes in program content for future
offerings.OPERATIONAL LEADERSHIP
- Exercise financial management and oversight of assigned
programs, including budgeting, faculty compensation, and fulfilling
all required reporting processes, including financial
reconciliation and the Program Review & Outlook (PRO) process.
Track and comply with any external reporting requirements; for
example, with third-party payers.
- Be responsible for grant/gift submissions and reporting.
- Seek opportunities to develop and lead improvements to standard
operating procedures across all programs.
- Maintain and clearly communicate to program leadership key data
on enrollment, content, program highlights, performance, etc.
- Will serve on the Executive Steering Committee of the
Network.TEAM MANAGEMENT
- Manage staff assigned to program; ensuring a high level of
professionalism, teamwork, and focus on customer service. Review
staff work; complete program staff evaluations.
- Maintain a high level of professionalism and focus on customer
service within the program team, to sustain excellence.
- Demonstrate knowledge, skills, and comfort with best practices
for online, on-campus, and offsite learning.
- Contribute to program improvements.
- Other duties as needed.OTHER RESPONSIBILITIES AND
OBJECTIVES
- Participate in curriculum planning, implementation, and
monitoring.
- Ensure timely evaluation and feedback to trainees, and
participate in career guidance.
- Coordinate education and other training committees.
- Maintain required documentation and data.
- Maintain compliance with accreditation standards.
- Respond to citation and/or internal review recommendations and
requests for information and data.
- Address trainee performance issues in a timely, effective, and
appropriate manner.
- Monitor and work to address trainee morale.
- Create and maintain survey tools to obtain feedback on
applicants and other relevant metrics.
- Schedule conferences and serve as administrative staff for
faculty.
- Schedule and serve as administrative staff for monthly Network
steering committee meetings.
- Plan, organize, and manage numerous Network Grant-related
events during the year including orientation, min-orientation,
welcome and winter parties, graduation dinner, etc.
- Serve as point person for trainee questions and concerns;
regularly check-in on trainees, build relationships, and learn
about each fellow's general well-being and needs; convey concerns
(both individual and across trainees), as appropriate, to program
leadership.
- Serve a critical role in supporting and promoting trainee
wellness and well-being.
- Collaborate and effectively communicate with program
affiliates.Basic QualificationsPh.D. degree or equivalent in a
Scientific Discipline preferred.Additional Qualifications and
Skills
- Experience in educational systems.
- Demonstrated success in launching, implementing, or improving
systems or standard operating procedures.
- Strong team-builder with an ability to build productive
relationships and lead work across all levels across a diverse
organization.
- Skill in managing multiple diverse activities simultaneously,
while operating with speed, accuracy, and strong judgment.
- Proven organizational, creative problem-solving, and analytical
skills.
- Experience with fellowship and funder relationships is also a
